Adelaide Tutors (400 Anzac Highway, Camden Park SA 5038) runs small-group Maths and Science classes and an online Parent Portal. We look after the personal information of students and their families carefully, and we only collect what we need to teach and to keep families informed. This page explains what we collect, why, who helps us handle it, and how to get in touch.

What we collect

  • When you contact us or book a trial: your name, email, phone number, your child's name and year level, the subject you are interested in, and anything you write in your message.
  • When your child enrols: parent or carer names, emails and phone numbers, and the student's name, year level and school (and, if provided, the student's own email or phone number).
  • While your child studies with us: class enrolments, attendance, invoices and payment status, tutors' lesson notes and recaps, and results from any diagnostic tests.
  • When you sign in to the Parent Portal: your email address and, if you use "Sign in with Google", your Google account's name, email and profile picture. We do not receive your Google password.
  • Your messaging choices: whether you have agreed to receive text messages from us.

How we use it

We use this information to:

  • respond to enquiries and arrange trial lessons
  • run classes, record attendance and share lesson recaps with parents
  • send invoices and receipts, and record payments
  • send class reminders and important updates by email or text message
  • give parents, students and tutors access to the information in the portal that relates to them
  • understand how people use our website so we can improve it

We do not sell personal information, and we do not use it for anything unrelated to your child's tutoring. We only send marketing text messages if you have agreed to them, and you can opt out at any time by replying STOP or contacting us.

Who can see it

Access is limited by role. Parents see only their own children's details. Students see only their own classes and materials. Tutors see only the students in the classes they teach. Our administrator manages enrolments and invoices.

Where it is stored and who helps us

Parent Portal records are stored securely in Australia. Like most businesses, we use a small number of trusted service providers to run our website, send emails and text messages, provide sign-in and process payments. They receive only the information they need for that job. Online payments are handled by our payment provider, and we never see or store your card details.

Cookies and website statistics

Our website uses Google Analytics and Google Ads, which use cookies to tell us how many people visit, which pages they view and whether they found us through an ad. This information does not identify you to us. You can limit it with your browser's privacy settings or Google's Analytics opt-out. The Parent Portal also stores a sign-in token in your browser so you stay signed in.

How long we keep it

We keep enrolment, attendance and lesson records while your child studies with us and for a reasonable time afterwards, and financial records for as long as Australian tax law requires. You can ask us to delete information we no longer need.

Keeping it safe

Portal access requires a password or a Google sign-in, every page and request is encrypted, and each person's access is checked by the database itself, not just by the website. No system is perfectly secure, but if we ever become aware of a problem affecting your information we will tell you.

Seeing or correcting your information

You can ask to see the information we hold about you or your child, ask us to correct it, or ask us to delete it. Contact us and we will respond as soon as we can.

Contact us

For any privacy question or concern, email info@adelaidetutors.com.au, call 0423 050 072, or use our contact page. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner.

We may update this policy from time to time; the date at the top shows when it last changed.
